Translation Workflow

Workflow

Each project, from the moment of its acceptance to its delivery, is supervised by our dedicated project manager, who is responsible for; project planning, the selection of the most suitable specialized translator(s), meeting agreed deadlines, and also managing our top quality assurance process.

All translations that are carried out by us go through a specific process, which can also be adapted to the needs of our clients.

Our standard project delivery workflow consists of fourteen stages.

The translation workflow for each project is shown above.

  • Preparation
    • Client’s inquiry
      • The client submits its documents and instructions.
    • Document analysis
      • We analyze the document content and make sure that client requirements and instructions are clear.
      • Please send us the entire text to be translated and any relevant reference files or prior translations (translation memories) that you have.
      • This will prevent misunderstandings and ensure the accuracy of the quote and delivery deadline.
    • Quote preparation
      • When requesting a quote please remember to indicate the delivery type: plain text, certified, notarized, apostilled, etc.
    • Project confirmation
      • Before starting a project, the quote must be confirmed in writing.
      • At this stage, we will also request your full contact details and acceptance of all terms stated in the emails.
  • Project
    • Terminology
      • Our project manager reviews the documents to be translated and prepares the terminology files to be used in the translation.
    • LPPD adaptation
      • During this review, our project manager also highlights and modifies the personal data/secret information within the relevant source document according to the LPPD (Law on Protection of Personal Data).
    • Document preparation
      • Modified documents, which include graphics, tables, etc., are sent to the DTP team.
      • Any issues relating to formatting, graphical design, presentation, or file format are handled by them.
    • Translator appointment
      • At this stage, our project manager selects the most experienced translator, who has an in-depth knowledge of the subject matter, and also simultaneously reserves editing and QA teams.
  • Translation
    • Translation
      • The appointed translator(s) starts the translation process by using the documents and terminology that are sent by the project manager.
    • Editing
      • Translated documents are sent to an editor, who will compare its content with the source text and checks its completeness and accuracy.
  • Review & Delivery
    • Proofreading and DTP
      • Proofreading task is always carried out by professionals, which have comprehensive knowledge of the client’s industry or service-related background, thereby ensuring that it makes sense not only from the linguistic point of view but also amongst the business community.
      • If necessary, project files are also sent to our DTP team.
      • Any final issues relating to formatting, graphical design, presentation, or file format are handled by them.
    • Internal quality check
      • Before delivery, the project manager carries out a final check of the deliverables to ensure that they meet the client’s requirements, and are in the correct format.
      • And also texts that were highlighted and modified during the preparation process according to the LPPD are rolled back.
    • Delivery
      • An electronic copy of the completed translation is sent back to the client via email.
      • Hard copies can also be delivered to the client via a courier.
    • Post-Delivery quality assurance
      • We provide a 100% accuracy guaranty for all of our translations.
      • If you are not completely satisfied with our translation, we will fix it, free of charge, until it meets your expectations.
